Print Asset Tags from an Inventory Spreadsheet

You have a spreadsheet of IT equipment, furniture, tools, or vehicles. You need a scannable barcode label for each item. Here's how to generate and print asset tags in bulk — free, in 5 minutes.

Your Asset Inventory Spreadsheet

A typical asset inventory looks like this. Export it as CSV or upload the .xlsx directly:

How to Print Asset Tags

1

Choose a Label Size

Asset tags need to be small but readable. Good choices:

  • DYMO 11354 (32 × 57mm) — compact, fits laptops and monitors
  • DYMO 99012 (36 × 89mm) — room for barcode + description
  • • Zebra 2" × 1" — durable thermal labels for industrial equipment
  • Avery L7160 (21/sheet) — if you're using a regular printer
2

Design Your Asset Tag

A good asset tag includes: company name, asset ID (as text and barcode), description, and location.

FAQ

What barcode format for asset tags?

Code 128 is the standard for asset tags. It encodes any alphanumeric text (AT-0001, SN-12345) and is readable by all barcode scanners. If you want smartphone scanning, add a QR code instead (or both).

How durable are printed asset tag labels?

Durability depends on your label stock, not the printing tool. For indoor use, standard DYMO/Brother labels last years. For outdoor/industrial use, use polyester or vinyl labels (available for Zebra thermal printers). OpenLabelMaker creates the design — the durability comes from the label material you choose.

Can I generate sequential asset IDs automatically?

Yes! Use {{#}} with the auto-numbering feature. Set start to 1, count to 500, prefix "AT-", padding 4 → AT-0001 through AT-0500. See our sequential numbering guide.
